Events and Promotional Terms and Conditions
Greenwoods Corner events and promotions are organised by Greenwoods Corner Epsom Business Association Incorporated, unless an event or promotion says otherwise. In these terms, “the Association”, “we” and “us” refer to the Association.
These terms apply to Association-run events, competitions, giveaways and other promotions. An individual event or promotion may have additional terms. Where those terms differ, the terms published for that activity apply.
Attending our events
Our events bring local businesses and the wider community together. Please follow reasonable directions from event staff, venue staff and emergency services. Children must be supervised by a responsible adult.
Event programmes, performers, stallholders, locations and times may change. Weather, safety concerns or circumstances beyond our reasonable control may require us to change, scale back, postpone or cancel an event. We will share updates through our usual channels when reasonably practicable.
Please take reasonable care of your belongings. Nothing in these terms limits any right or remedy that cannot lawfully be excluded.
Photography and filming at events
Our community events are photographed and filmed. By attending an Association event, you acknowledge that you and any children in your care may appear in photographs or video taken by or for the Association.
We may use this material to share highlights from the event and promote Greenwoods Corner and future Association events. This includes recap videos, our website, social media, email updates, event pages and other promotional material. Suitable images and recordings may be used again after the event has ended.
Children are an important part of our community events and may appear in general event coverage, including crowd scenes and recap videos.
If you have a concern about an image we have published, email [email protected] with a link or description. Our Privacy Policy explains how we handle personal information. Your rights under the Privacy Act 2020 still apply.
Performers, entertainers, stallholders and other event participants
Photography and filming are part of how the Association documents and promotes its events. This section applies to performers, entertainers, presenters, stallholders, vendors, volunteers, contractors and other people formally engaged or approved to participate in an Association event. We refer to them as “event participants”.
Agreement to be photographed and filmed is a condition of being engaged or approved as an event participant.
By accepting a booking, contract, stall allocation or other invitation to participate after being given these terms, an event participant agrees that the Association and its authorised photographers or videographers may photograph and film them at the event.
The participant permits the Association to use their image, likeness and event appearance in event coverage and in ongoing promotion of Greenwoods Corner, the Association and future Association events. This includes recap videos, websites, social media, email, posters, advertising and other event material. No further approval or payment is required for those uses unless a separate written agreement says otherwise.
An event participant who does not agree to these photography and filming terms must tell us before accepting the booking or participation offer. As photography and filming are part of our event promotion, we may be unable to engage or approve someone who does not agree.
A business, group or agency accepting a booking or stall allocation must bring these terms to the attention of its staff, performers and other representatives who will attend. It must tell the Association before the event if anyone cannot be photographed or filmed. Where a participant is under 18, we will arrange permission through their parent or guardian as part of confirming their participation.
These terms permit the use of a participant’s image and appearance. They do not transfer ownership of photographs taken by someone else, or grant rights to music, performances, logos or other protected material beyond rights the participant is authorised to give. Any further rights needed to record or reuse a performance or third-party material should be addressed in the relevant booking or supplier agreement.
Competitions and giveaways
Each competition or giveaway will state its opening and closing dates, who can enter, how to enter, the prize, how the winner is selected and how and when the winner will be contacted. Any age, location or entry limits will appear in the terms for that promotion.
Entries must follow the published instructions. We may exclude entries that are incomplete, fraudulent, automated, unlawful or otherwise breach the stated rules. We will select winners using the method advertised for that promotion.
A prize cannot be exchanged for cash unless its specifi c terms say otherwise. If a prize becomes unavailable for reasons beyond our reasonable control, we may offer a reasonably comparable substitute where lawful and fair to entrants.
We may need to confirm a winner’s eligibility before awarding a prize. If a winner cannot be contacted within the period stated for that promotion, we may select another winner in accordance with its published rules.
Entering a competition does not automatically give the Association permission to use an entrant’s photograph, video or other creative work in future advertising. If a promotion asks entrants to submit material, its specific terms will explain how that material may be used. We will seek any additional permission needed for a materially different use or a featured promotion involving an identifiable child.
Promotions run on Facebook or Instagram will include any platform notices required for that promotion. Unless expressly stated, a promotion is not sponsored, endorsed or administered by those platforms.
Personal information
We collect information needed to run events and promotions and handle it under our Privacy Policy. We do not add someone to a marketing list solely because they entered a competition. Any optional marketing sign-up will be explained separately.
